Encrypt a Document

It is becoming more important to secure information stored on computers and memory sticks, because someone attempting to steal your documents will find them easy to send and to hide. There are several ways to get around this problem. You can use encryption software to encrypt the document you would like to protect. Once encrypted, you can store it on a USB stick, on your laptop hard drive or on a server. Or you could encrypt the entire USB stick or the laptop hard drive. It is always a lot more secure to encrypt the entire memory rather than encrypting a separate document. By encrypting the entire drive, a user will need to authenticate himself prior to getting access to the drive. Normally a user is given three attempts before the drive is locked down and the help desk needs to be contacted for verification. If you only encrypt a separate document, a user can try different passcodes until the document is opened. Please also remember that if a document is stored in clear text, a copy could normally be found in the swap file on the computer.

How to do it
1) The easiest way to create a workable solution is to deploy hard drive encryption to your computer. Once that is done, you will be able to control if documents should be allowed to be copied to removable media such as a memory stick or a backup. You will also be able to control if the documents should be copied in clear text or encrypted. Installing full disk encryption ensures that the stored data is always secure and private in case your computer is lost or stolen.

2) Having your hard drive encrypted is quite easy. Just sign up for an AlertSec seven-day free trial. During the software install you can work on your computer as normal.

3) Once you are signed up for laptop encryption, you will have instant access to AlertSec’s 24/7 help desk should you need any assistance or have any questions.

All encryption software used by AlertSec is based on the 256-bit AES encryption algorithm and has the highest security certifications: FIPS-140-2, Common Criteria EAL4 and BITS. AlertSec is approved for SOX, HIPAA and PCI compliance.
